Tēnei tūranga - About the Role:
The Our Future Services programme is transforming the immigration system by bringing visa applications and processing into a single digital platform, supported by smart risk management, modern tools and redesigned end-to-end processes that deliver a better experience for kaimahi and customers. The programme is delivered through multiple workstreams operating in parallel, each implementing key initiatives with defined milestones.
You will be part of the Future Services Branch within Immigration New Zealand, reporting to the Programme Director, Future Services.
As a Project Coordinator, you will play a key role in supporting the successful delivery of the Our Future Services programme by providing high-quality coordination, planning and administrative support across a diverse mix of projects and initiatives, spanning both technology and non‑technology workstreams.
You will work closely with workstream leads and delivery teams to ensure initiatives are well organised, clearly documented and progressing as planned. This includes maintaining schedules, supporting resource planning, preparing project and governance documentation, coordinating meetings, tracking deliverables, and maintaining accurate programme information.
You will also support programme‑level planning, reporting, governance and operational activities, helping teams operate smoothly by managing logistics, monitoring progress, identifying emerging risks and issues, and ensuring project information is current and accessible.
As a key connection point across the programme, you will build strong working relationships with stakeholders and contribute to a consistent, high‑quality approach to delivery across Our Future Services.

Skills and Experience Required
- At least five years’ experience in a coordination, administrative or project support role.
- Awareness or working knowledge of project and programme disciplines.
- Strong organisational skills with the ability to plan, schedule and manage competing priorities.
- Proven ability to build trust and work effectively with people at all levels of an organisation.
- Experience coordinating meetings, preparing documentation, tracking actions and maintaining registers.
- Experience raising purchase orders, coding invoices and supporting contract management.
- Excellent written and verbal communication skills.
- Confidence working across multiple teams and workstreams in a complex programme environment.
- You must be a New Zealand Citizen or Permanent Resident.
