Tēnei tūranga - About the Role:

An exciting opportunity has arisen for a Personal Assistance / Team Administrator to support the Head of the Office of the Deputy Secretary Te Whakatairanga Service Delivery (TWSD) and wider leadership team.


Reporting to the Head of the Office of the Deputy Secretary TWSD the PA/Team Administrator is responsible for providing a range of efficient and effective administrative support services.


You will provide a range of personal support to the Head of the4 Office and wider leadership team, including assisting with diary management, preparation of documentation, including secretariat support for relevant meetings, including agenda preparation, liaison and the taking of minutes/action items and collating research.


In addition, the PA/Team Administrator will provide a range of administrative support services including arranging travel, assisting with event management, processing of invoices and payments, ordering and purchasing of office equipment and liaising with key contacts across MBIE, including liaising with facilities and IT staff.

Skills and Experience Required
 

  • Demonstrated agility in supporting multiple teams and responding to changes in priorities.
  • A proven track record of experience with customer service and support is essential
  • Good interpersonal and relationship management skills and ability to work across multiple teams
  • Wide ranging knowledge of administration systems and processes.
  • Excellent written and verbal communication skills
  • Ability to show and use initiative and be proactive
  • A methodical approach to work.  Ability to both follow and suggest improvements to established procedures
  • Good standard of computer and software literacy and word processing 
  • Ability to work effectively in a team environment and to prioritise work to achieve MBIE outcomes
  • Ability to work in a flexible and dynamic environment
