Tēnei tūranga - About the Role:
We’re looking for a highly organised and proactive Personal Assistant / Team Administrator to join our Business Management Team within the Legal, Ethics and Privacy Group. This is a great opportunity to provide essential support in a dynamic environment where your contribution matters.
You’ll provide professional and administrative support to ensure the smooth running of the branch to deliver core priorities, you’ll play a key role in keeping things moving.
Some of the key tasks include:
- Diary management for branch management
- Co-ordinating management of Legal Services files
- Assists solicitors in preparation of legal bundles for discovery and other court documents
- Organising travel for solicitors and branch staff
- Event coordination including annual internal branch conference
- Assist with the preparation of Legal Services Orders (LSOs) for external legal including loading into the contract management system
- Provide data entry in Te Taunga/ACMM our Legal Practice Management system
- Coding and processing for a large number of external legal invoices which often requires research to determine which business group should pay for them
- Maintain our branch Teamsite in Sharepoint including the design and analysis of branch surveys
- Assistance in production of branch dashboards and reporting

- Proven experience in executive or team support roles.
- Strong organisational and time management skills with the ability to juggle competing priorities.
- Excellent communication and relationship management skills.
- Intermediate to advanced skill in the Microsoft application suite including: Word, PowerPoint, and Excel
- Discretion and professionalism when handling sensitive information.
- A proactive, flexible approach and ability to work collaboratively.
- Must have the legal right to live and work in New Zealand.
