We have two great opportunities with interesting branches, each seeking a PA/Team Administrator.

One role is working for the New Zealand Space Agency. The role works across the Space Policy and Sector Development, and Space Regulatory Systems teams, responsible for enabling a space industry that is safe, secure and responsible.
The other role is working for the Business and Consumer branch who play a unique role in supporting the market through innovative products, tools and services so that New Zealand businesses can transact, innovate and grow. It ensures that all market participants are well informed, adequately protected and that trading is fair.
Both roles are in exciting and fast-moving areas of MBIE where no two days will be the same. The teams collaborate across local, national and international agencies and stakeholders, and each role holds a broad range of responsibilities in a supportive, collaborative and inclusive environment.
A typical day might involve:
· being the go-to person for any branch administrative support needs
· supporting branch leadership team members where required
· supporting the General Manager’s EA, including with leave cover
· organising internal and external stakeholder meetings and functions, large and small, including venue coordination, setting up agendas, organising catering and taking minutes
· arranging domestic and international business travel
· administering the branch’s internal Sharepoint site
· supporting different groups in the branch with Sensitive expenditure memos
· supporting procurement and invoicing processes, and other administrative tasks in the financial system
· liaising and building strong working relationships with internal and external stakeholders
· supporting recruitment processes (setting up interviews, sending tests, onboarding & induction).

For the PA/Team Administrator role we are looking for someone who can demonstrate:
· a proven track record of experience in providing personal and administrative support to managers and across teams
· the ability to organise and prioritise a busy workload effectively, demonstrating agility to respond to changing priorities, a proactive mindset and use of initiative
· wide ranging knowledge of administration systems and processes
· excellent working knowledge of the Microsoft Office suite
· demonstrated experience developing relationships with and across all levels of organisations and with internal and external stakeholders
· strong written and verbal communication skill
· an understanding of the machinery of government would be an asset
