About the Role - Tēnei tūranga:


We're looking for an experienced and highly organised Executive Assistant to provide confidential, high-level support to a General Manager within Immigration New Zealand. This is a pivotal role where you'll be responsible for ensuring senior leaders can effectively manage their priorities, make informed decisions, and deliver outcomes for New Zealanders.

You will become a trusted partner to senior leadership, proactively managing workflows, coordinating key activities, and building strong relationships across the organisation.

In this varied and rewarding role, you will:

  • Manage complex diaries, schedules, meetings, and appointments.
  • Coordinate domestic and international travel arrangements.
  • Prepare high-quality briefings, correspondence, reports, and presentations.
  • Manage sensitive and confidential communications with discretion.
  • Track actions and follow up on key priorities and deliverables.
  • Coordinate internal and external engagements, meetings, and events.
  • Build and maintain strong working relationships with stakeholders across MBIE and external organisations.
  • Support the development and continuous improvement of administrative systems and processes.
  • Provide guidance and support to other administration staff where required.

Skills and Experience Required

  • Proven experience in a senior Executive Assistant or executive support role.
  • Exceptional organisational and time management skills.
  • Strong communication and relationship management capabilities.
  • The ability to manage competing priorities in a fast-paced environment.
  • Excellent judgement, initiative, and problem-solving skills.
  • High levels of professionalism, integrity, and discretion.
  • Experience working within the public sector is desirable.
  • A collaborative approach and commitment to supporting team success.

To be eligible for the role you will need to hold either a New Zealand citizenship or a New Zealand Permanent Resident visa.
