Tēnei tūranga - About the Role:
The Executive Assistant role is responsible for providing professional secretarial, organisation and administrative support to the General Manager ensuring all tasks are completed in a proactive manner, facilitating the needs of the business.
This will cover:
- Providing proactive and efficient diary management, correspondence and administrative support including taking minutes.
- Supporting the GM and ensuring their day-to-day work activities are managed effectively.
- Being a communications link between the GM and the wider organisation by building highly effective relationships and strong connections.
- Supporting the wider Executive Assistant, administration and reception support teams in a proactive and collaborative way.
- Exercising discretion and initiative to enable information to flow efficiently between your manager and the organisation.
- Operating as a self-managing team to help facilitate knowledge transfer, skills development, back up services and workflow practices that deliver a highly effective EA service.
About the Team
The Data Insights and Intelligence branch delivers high-quality analytics and domain-specific official statistics, underpinned by advanced data science, intelligence, strategic data sharing, and comprehensive country research. It supports decision-making across ministerial portfolios and regulatory systems, helping drive evidence-based policy and operational excellence with actionable, relevant, and timely outputs.

Skills and Experience Required
- Must have a proven track record of relevant experience i.e. (3 – 5 years) as an Executive Assistant in a senior executive support role.
- A friendly, ‘can do’ attitude and a thirst to learn more and make the role your own.
- Exercises sound judgement and discretion when handling confidential and politically sensitive matters.
- Wide ranging knowledge of administration systems and processes.
- An ability to be proactive and reactive – can handle ‘the fast ball’.
- Knowledge and understanding of working within a government agency.
- Excellent relationship management skills at all levels both internally and externally.
- Proven ability to develop trust and credibility at the executive level.
- Strong communication, influencing and interpersonal skills with an appreciation of data protection.
- Excellent Microsoft Office skills (Word, Excel, PowerPoint).
- Must have the legal right to live and work in New Zealand.
