Tēnei tūranga - About the Role:


The Coordinator/Analyst role sits within Immigration Design and Assurance (IDA) in Immigration New Zealand. IDA plays a critical role in supporting the design, assurance and delivery of the immigration system, and this position is key to ensuring operational content and communications are well coordinated, accurate and delivered on time.

This is a busy, varied role supporting multiple initiatives at once. You will provide coordination, administration and publishing support across IDA, with a strong focus on scheduling activities, publishing operational content and producing high quality documentation.

You will be a key point of contact into IDA, working closely with SOPs, policy, operational teams and other MBIE stakeholders to coordinate delivery, manage dependencies and ensure changes are clearly communicated.

You will report to the SOPs Team Leader and work closely with IDA kaimahi across the branch.

As a Coordinator/Analyst your main areas of responsibility are to:

 

  • Coordinate and support IDA planning, scheduling and reporting activities.
  • Maintain schedules, registers, risks, issues.
  • Ensure content is accurate, approved, and released in line with agreed processes and timeframes, by publishing and maintaining operational content in Author it, including updates to the Operational Manual, Global Processing Manual, and Visa Pak database.
  • Support clear communication with requestors and internal stakeholders regarding work status, expectations and delivery timeframes.
  • Coordinate, send and receive briefing papers to the Minister of Immigration’s Office for changes to immigration instructions.
  • Communicate changes to immigration instructions through Amendment Circulars, ensuring changes are clearly articulated and distributed to the right audiences.
  • Provide regular and ad hoc business reporting using agreed templates and quality standards.
  • Support meetings and workshops, including logistics, agenda preparation, minute taking, action tracking and follow up.
  • Ensure decisions are documented, communicated and appropriately filed.
  • Support the development of workshop materials, process documentation, flowcharts, diagrams and presentations.
  • Assist with website and product maintenance activities where required.
  • Manage your own workload through effective planning, prioritisation and review against agreed outcomes.
  • Negotiate realistic delivery timeframes and deliver to those commitments.
  • Follow best practice standards and guidelines in all work outputs.

Skills and Experience Required

  • A high standard of written English, with strong attention to detail.
  • Excellent administration and organisational skills, with the ability to manage multiple priorities.
  • Intermediate or higher capability in Microsoft Word, Excel, PowerPoint, Visio and Project.
  • Experience supporting planning, scheduling, reporting and/or content publication at team or initiative/project level.
  • Confidence working with structured content management systems (e.g. Author it) and publishing operational guidance is desirable.
  • Strong communication and interpersonal skills, with the ability to work effectively with staff at all levels, including senior managers and Ministers’ offices.
  • Familiarity with process improvement and process documentation is desirable.
  • Ability to monitor deadlines, follow up actions and escalate where required.
  • A proactive, action oriented approach with strong self management skills.
  • Ability to gain and maintain a national security clearance.
