Tēnei tūranga - About the Role:

 

The Business Coordinator provides administrative and coordination support across the Te Whakatairanga Service Delivery Group.  You’ll be part of the Office of the Deputy Secretary, as part of a team that supports strategic planning, performance reporting, and group-wide coordination and accountability activities. This is a varied role with opportunities to contribute to continuous improvement and relationship-building across MBIE.

 

What you’ll be doing

 

  • Provide secretariat support for senior leadership meetings, including agenda coordination and minute-taking
  • Assist with planning, performance reporting, finance, risk management, and assurance processes
  • Coordinate group-wide events and logistics
  • Review and prepare papers ensuring quality and timeliness
  • Support project-related work and ad hoc tasks across the group
  • Support the Head of Office with diary management and administrative tasks
  • Organise travel, meetings, regional trips, and development days
  • Identify opportunities for best practice and continuous improvement

  • Solid administrative and coordination experience
  • Ability to build strong, trusted relationships across teams
  • Experience supporting multiple teams and managing competing priorities
  • Secretariat or governance support experience
  • High attention to detail and a proactive, customer-focused attitude
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Visio, Word, Excel, PowerPoint); experience with AI tools such as Copilot is a plus
  • Ability to manage sensitive information with discretion
  • Must be a New Zealand citizen or hold a permanent resident visa
