Tēnei tūranga - About the Role:


We’re looking for an organised, proactive Business Coordinator to join the Associate Deputy Secretary Immigration (ADSI) branch at MBIE.

In this role, you’ll provide high quality administrative and coordination support to the ADSI leadership team and the wider branch. You’ll work closely with teams across Immigration New Zealand, helping to keep our people, processes and priorities running smoothly in a fast paced and high impact environment.

You’ll be part of a collaborative Business Support team, supporting work across:

  • International Engagement
  • Privacy, Complaints and Resolutions
  • Specialist Engagement
  • Māori Partnerships and Capability
  • Director Public Information

What you’ll be doing:

 

  • Coordinating meetings, diaries, travel and logistics for senior leaders.
  • Providing day to day administrative support across the ADSI branch.
  • Supporting onboarding and offboarding activities.
  • Taking meeting minutes, following up actions and maintaining registers.
  • Assisting with project work and continuous improvement initiatives.
  • Supporting ministerial servicing, including OIA responses, parliamentary questions and correspondence.
  • Proof reading and collating papers for internal and external audiences.
  • Responding to stakeholder queries and supporting team coordination.
  • Providing back up support to the Offshore Coordinator role.

Skills and Experience Required

  • Solid experience in administration or coordination roles.
  • Strong organisational skills and the ability to juggle multiple priorities.
  • A high level of attention to detail and sound judgement.
  • Proven ability to build effective, trusted working relationships.
  • Strong written and verbal communication skills.
  • Confidence using Microsoft Office (Word, Excel, PowerPoint and Visio).
  • A proactive, positive and customer focused approach.
  • The ability to handle sensitive information with discretion and confidentiality.

Requirements

  • New Zealand citizenship or permanent residence visa.
  • Ability to obtain and maintain Police vetting.
