An exciting opportunity has arisen for a Business Support Coordinator with the Auckland Policy Office. As part of a small but critical and supportive team you’ll be working in a dynamic and changing environment, you will be supporting key business functions within the office. Being front of house, you’ll have a range of activities to keep you busy, and no two days are the same, so if you are looking for a fast paced role that will keep you on your toes, read on!
This is a key, dynamic role in a unique environment and is first point of contact for a large number of stakeholders, providing high level, quality administrative, operational and customer service support in NZ’s largest multiagency collocated office. The roles service a wide range of internal and external stakeholders, Chief Executives and senior government officials, cross-agency visitors, the PM, Ministers and their staff, and staff of the APO.
The ideal candidate will possess strong communication skills, a positive flexible attitude, and the ability to prioritise, then reprioritise according to daily activities. The role requires the ability to:
- Effectively manage competing priorities
- Provide a welcoming ‘front of house’ reception service, orientating and inducting new people to the office
- Provide proactive efficient complex co-ordination working across multiple agencies, using sound judgement, and the flexibility to adapt to constant change, responding to the increasing demand of a multistakeholder office environment of approximately 140 people.
- Work closely with the other members of the Business Support team, co-ordinating across roles to ensure a high level of administrative service provision and building on team efficiency
- Manage and co-ordinate meeting room bookings and events, using Outlook calendars, Teams and Zoom
- Remain calm and professional under pressure
- Maintain a high level of critical attention to detail
- Communicate information clearly, both orally and written, in a manner and style appropriate to the intended audience
- Maintain a high degree of confidentiality and manage sensitive information
- Actively support activities and demonstrate values that enhance the development of positive culture in an environment consisting of different agency cultures.

Skills and Experience Required
- Government administration experience highly desirable but not essential
- Experienced in the use of Outlook calendars to manage high volume meeting and event co-ordination
- Office experience in co-ordination of administration services including Facilities
- Experience in finance functions – coding, checking and processing invoices
- Proven ability in Microsoft 365 software applications
- Wide ranging knowledge and experience in providing quality responsive administration support
- Previous experience in roles requiring stakeholder management and influencing
- Strong attention to detail
- Analytical and critical thinking skills
